类别及用途备忘录 ( Memo) 的全称为 Memorandum,是一种录以备忘的公文,主要分为二大类:
( 1) 补充正式文件的法律公文或正式记录官方会谈纪要的官方文件,如外交备忘录或谈判备忘录;
( 2) 在单位或组织内部用于提醒,督促或通报情况的公文 。
在现实生活中,第二类备忘录使用得非常广泛,是一种常见的商务写作形式,通常简称为 Memo。 本课只介绍这类备忘录 。

内容及风格
普通商务书信通常写给组织外部的个人或单位,但商务备忘录写给组织内的一个或多个个人,因此发文人地址,收文人地址,称呼和结尾客套用语均省略掉 。
商务备忘录比较短,一般不超过一页或二页,通常只谈论一个问题 。
这类备忘录的正文应该开门见山,简洁明了,不要用多余的套话,如,
The purpose of this memo is… 。

基本内容商务备忘录通常打印在组织或单位的专用备忘录用纸上,各个不同的组织或单位所采用的备忘录格式可能不尽相同,但商务备忘录基本上应该包括如下项目:
( 1) 收文人 ( To:) ;
( 2) 发文人 ( From:) ;
( 3) 发文日期 ( Date:) ;
( 4) 事由或主题 ( Re:或 Subject:) ;
( 5) 备忘录正文 ;
( 6) 如果备忘录还需要抄送某人,可以在正文末尾下二行的位置上增加抄送项目 ( cc:) 。

格式
商务备忘录正文的格式通常采用齐头式 ( Block Style),单行行距
( single-spaced),段与段之间为双行行距 ( double-spaced),每段的开头不缩格 。
商务备忘录的发文人通常不采取签名的形式,往往将自己姓名的首字母写在打印的姓名之后 。 如果发文人采取签名的形式,签名也要放在发文人 ( From:) 行中打印的姓名之后,不能像商务信函那样将签名放在正文结尾处 。
